Cash Handling and End of Day Procedure

Purpose. This procedure sets out how money is handled at the cafe, the op shop and the front desk, from the morning float to the end of day count and banking.
1.The float
Each register starts the day with a $200 float made up of coins and small notes. The person opening must count the float with a second person, write the count on the end of day sheet and both sign. The float must never be used to buy anything.
2.Taking payments
Say the total out loud, take the customer's money, state the amount given and count the change back into the customer's hand. Put the note on the till ledge until the change is given. Card payments must be tapped or inserted by the customer and the receipt checked for Approved before the goods are handed over.
3.Discounts, refunds and mistakes
Only the supervisor or coordinator will give a discount or a refund. If you make a mistake on the register, do not try to fix it yourself. Tell the supervisor and write the mistake on the end of day sheet so the count can be explained.
4.Keeping cash safe
Close the till drawer after every sale. Do not leave the register unattended. Move notes over $50 to the drop safe when the supervisor asks. Never count cash in front of customers.
5.End of day count
At closing, two people must count the cash in the till, record the total and compare it with the register total. Work out the difference. Any difference over $5 must be reported to the coordinator and written on the sheet with a reason if known. Restore the $200 float and put the takings in the banking bag with the sheet.
- Count notes first, then coins, from the largest to the smallest
- Write each amount in the right column of the end of day sheet
- Add the columns and check the total twice
- Compare with the register report and record the difference
- Both counters sign the sheet
6.Banking
The Programs and Administration Coordinator will bank the takings at least twice a week. Banking bags must be stored in the safe until then. Banking must be recorded in the finance system and the deposit slip attached to the end of day sheets.
